Who does not want to get a paperless office?
Everybody has the same problem.
You get a letter from your bank, what do you do with this letter? Do you keep it, you throw it in the trash, is it important?
Everyone gets into such situations, which nobody knows how to handle the letter or document.
With this few hints and tricks you get easily a paperless office and know how to handle every document:
Get a document management system.
No fear, thats not expensive. You could get cheap or even free tools. Our tipp: Try out for free one folder, it’s one of the easiest and best to get started with.
Do not use notice letters or pin ups any more.
We live in the 21st century and the computer is very easy to use 🙂 There are many teriffic tools like Evernore, One-Note, Wunderlist or even the Notepad. All of this apps will increasive your workflow and helps you to get rid of the many letters on your desk.
Keep only important documents.
What are important documents? Very good question 🙂
Ask yourself the following questions, if you answer just one with yes, than you should keep this document and archive it in one folder.
- Does the document contain any information which could be relevant in any future for you?
- Is the document an invoice or credit notice?
- Is the document a delivery note?
- Is the document relevant for your tax?
- Is the document from the government?
Create an “unsafe” box
Whoops, what does it mean? Nothing special. If you’re not sure if you could really destroy this document, than throw this document into a box. Out of sight, out of mind. If you really need this document, than nothing is destroyed so you have always the original document at your office.
If you followed our first tipp and got a dms like one folder, than you don’t need this “unsafe” box, because you already have all your document in you cloud and are always able to find this documents easily just like a google search. This means you always got all of your document on your smartphone, tablet or on your computer.
